Even if the process involves something as apparently simple as\ncollecting cans for social responsibility purposes, people management software\ncompany Accsys has a system for it.<\/p>\n\n\n<p>While this might seem like a lot\nof work, it\u2019s more than worth the effort, says Teryl Schroenn, recently retired\ndirector at Accsys and now a business consultant at its holding company,\nTransactional Capital Risk Services. <\/p>\n\n\n<div class=\"wp-block-image\"><figure class=\"alignright\"><a href=\"https:\/\/www.accsys.co.za\/\"><img decoding=\"async\" src=\"https:\/\/www.tt100.co.za\/wp-content\/uploads\/2021\/05\/Logo-1.png\" alt=\"\" class=\"wp-image-2067\"\/><\/a><\/figure><\/div>\n\n\n<p>\u201cWhen you have a system in place\nfor things, you stop reinventing the wheel every day and you pre-empt unproductive\nbehaviour that happens when everyone does things differently.\u201d<\/p>\n\n\n<p>Human nature being what it is, you\ncan ask 10 people to give\nyou the same information and end up with 10 different versions if you\nhave not explained what is required and preferably designed an input form. <\/p>\n\n\n<p>When everyone approaches the task\nthe same way, you get the results you want \u2013 particularly if the system you\nhave established saves people time and minimises effort.<\/p>\n\n\n<p>This is especially true for\nday-to-day, repetitive or regular processes, such as applying for leave.<\/p>\n\n\n<p>\u201cThe average employee in South\nAfrica applies for leave 8 to 15 times a year,\u201d says Teryl. If done manually, this\ncan take 10 to 15 minutes every time (and longer if there are errors). On the\nother hand, it can take a mere two or three minutes \u2013 and eliminate mistakes \u2013 if\nthe company has an automated employee self-service system.<\/p>\n\n\n<p>Apart from putting systems in\nplace and making them easy to use, it is important to make sure those systems\nare applied consistently. <\/p>\n\n\n<p>An example is the monthly staff\nmeeting, held on the second Friday of every month. \u201cCome hell or high water, it\nwill take place,\u201d she says. \u201cPeople come to rely on consistency and when you\nhave it, you create a platform for innovation because the day-to-day stuff is taken\ncare of. Systems give you confidence. They become part of your DNA. And because\nthe boring stuff is just done, it enables creativity.\u201d<\/p>\n\n\n<p>Systems themselves must be\nflexible enough to change, and Accsys has a system for that too. Any employee\ncan recommend a system improvement by registering it on the SharePoint system,\nafter which it will be checked and approved for use \u2013 via a system.<\/p>\n\n\n<p>Teryl says its consistent approach\nto processes and systems is one of the reasons Accsys keeps performing well.\n\u201cWe never did anything that probably thousands of companies haven\u2019t done \u2013 but\nwe do what we do consistently.\u201d<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Accsys, winner of the Management of Systems Award in the medium enterprise category Systems take care of the boring stuff, enabling creativity Never allow a process to happen twice without a system.
